Fuel coupons
Use your coupons, request one when you need fuel, and keep an eye on your estimated fuel.
Open Profile, then Account, then Fuel coupons. The wallet shows your estimated fuel, your available and used liters, the coupons you can use, your usage history, and the fuel of your recent Programs.
If a coupon you expect is missing, confirm the active organization.
Use a coupon
- Under Available coupons, choose Record coupon use on the coupon you used.
- Check the code and liters, then choose Confirm use.
Using a coupon always counts its full liters and records the current time; there is nothing to type. Each coupon can be used once. If the confirmation times out, reopen the wallet before trying again: the use may already be recorded.
Request a coupon
Choose Request fuel coupon when you need fuel. Operations is notified and either issues you a coupon or declines the request with a reason; you are notified either way. While your request is open the wallet shows Coupon requested, and asking again does not create a second request.
Estimated fuel
Estimated fuel is the coupon liters you used minus the fuel your completed Programs burned. Each Program you drive with GPS tracking adds its fuel under Program fuel: the recorded kilometers at your vehicle's consumption, or at the organization's rate when your vehicle has none.
When your estimated fuel drops below the warning your organization set, Calendar shows Running low on fuel and you receive one notification for that Program. The message tells you what to do next: use an available coupon, request a coupon, or wait for the request you already sent. The warning disappears once you use a coupon.
An estimate, not a fuel gauge
The estimate starts with your first coupon use and only counts coupon fuel. Fuel you buy yourself, detours, and Programs without a complete GPS route are not included, so check your tank before you rely on it.
Fuel coupons, Program fuel, and the estimate never create Guide account movements, payroll entries, reimbursements, or payouts. Record a real personal fuel expense through the Guide account only when the expense policy applies.
Next: use Assistant and settings.
