Read Calendar

Find assigned CIS work and choose the correct next action.

Calendar is the guide's work queue. It combines dates, assignments, Program states, and the active field day in one place.

A new assignment can start from a notification

When Operations saves a CIS with a newly assigned guide, Trailhead sends that person an assignment notification. Opening it goes directly to the linked CIS context and assigned role. Calendar remains the place to find that work again and follow its current state.

Notices that keep you up to date

Besides a new assignment, Trailhead tells you when something in your work changes:

  • Your CIS changed. When the office saves a CIS you're on, you get one notice in Spanish a few minutes after the last save, listing what changed for you: dates, stays, flights, IN/OUT and the team. IN/OUT changes go only to the guide on that transfer. Several saves in a row become one notice.
  • Your Program was cancelled, or you were replaced on it. Both the original guide and the new one hear about a replacement.
  • Your Fishing Report is still pending. Two hours after Back at lodge, unless it's after 22:00, and again at 08:00 the next morning.
  • You're the GC Lodge tomorrow. At 19:00 the evening before. If the duty moves to someone else, the new GC Lodge gets it.

Field Test trips count too

Field Test trips appear in your Calendar and count in your Season total, like any other work. The CIS tab keeps listing only operational trips.

License expiry warnings

From 21 days before one of your licenses expires, Calendar shows a banner with the license and how many days are left. In the last 7 days, and once it has expired, the banner turns urgent. Renew it from Profile so your Programs aren't blocked.

Read a shared OUT / IN date

A date splits diagonally only when it contains exactly two assignments from different CIS trips: one OUT and one IN, each worth 0.50 day. For example, finish Group A's departure and receive Group B on the same date. The upper-left triangle is OUT and the lower-right triangle is IN; each uses its Program lodge color, or the assignment lodge before a Program exists.

  • The split can appear before either Program is created: assigned arrival/departure duties supply the half-day context.
  • Tap a half to open its existing Program. If it has no Program yet, the tap selects the date; use the corresponding group card in the agenda to continue. Keep the two groups' work separate.
  • Identical lodge colors can make the split look like one color. Read the group and IN/OUT labels in the agenda.
  • A lodge transition within one CIS stays single-color. Two arrivals, two departures, a third assignment, or a full-day Program do not receive this split. A calendar color alone does not establish that a workload is valid.

Find transfers outside the stay

An IN transfer assigned to the Guide before the first stay appears on its actual transfer date, even outside ordinary guide coverage. Open that date to prepare its IN Program; the first stay remains separate. The final OUT date also remains assigned. A movement on an existing assignment's date adds its duty to that assignment instead of creating duplicate work.

Start the day as Guide Coordinator

There are two daily coordinator duties. Trailhead picks both from the explicit guide ranking (rank 1 is first) among the active guides working that day. If a guide cannot work that day, the duty passes to the next-ranked guide.

  • GC Lodge — one per lodge and local day: the best-ranked guide working at the lodge, across every group (CIS) there. The GC Lodge decides the lodge's Program conflicts and accrues one USD 30 premium for that guide and date.
  • Group GC — one per group (CIS) and day: assigns and rotates that group's guests and sees all of its guests and IN/OUT duties. The GC Lodge is the GC of their own group. Any other group gets its best-ranked guide that day, or the GC Lodge when nobody in the group is ranked. The group GC accrues no premium.

A group alone at its lodge has one coordinator who holds both duties. A Head Guide may also hold a duty when their ranking and work assignment place them first.

The CIS shows who holds each duty that day: the hero at the top marks the GC and the GCL (GC Lodge), and the saved team lists them too.

On the days you are the GC Lodge, GC Lodge appears in the app header on every screen and beside your name on your Program cards. Tap GC Lodge to open the conflict queue. On the days you are a group GC, GC appears beside your name on your Program cards.

When more groups choose a Beat on the same day than it has places, whether the groups are at the same lodge, at two lodges that share the Beat, or on a Transition Beat, the best-ranked GC Lodge of their lodges decides; at a single lodge, that is the lodge's GC Lodge. The GC Lodge receives a notification, and a red Program conflicts · N banner appears immediately before the calendar. There is no conflict icon in the header. Tap the banner or the notification to open the conflict queue.

The deciding GC Lodge agrees with the guides who goes to which Beat and records it in mobile, including moving their own Program. If the decision cannot be made safely, escalate the complete conflict to Head Guide, who is notified and is the final escalation authority. When none of the lodges of those groups has a GC Lodge that day, the conflict goes directly to Head Guide.

Guide mobile Calendar showing the current month, status legend, work filters, and an active Program card

Use Calendar to recognize what needs attention before opening a CIS or Program.

Narrow the work

  • This week shows work that needs attention now.
  • Upcoming shows assigned CIS work that is approaching.
  • Completed shows field days that already moved through execution.

The legend and cards show conflicts, assignments that need a Program, Programs in review, and the active field day. Open the existing card instead of creating duplicate work.

Understand the Program state

Guide mobile Calendar showing one CIS Program in review and another CIS that still needs a Program

The state on each CIS card tells the guide whether to open existing work or begin Program preparation.

  • In review means a Program already exists. Open it to review or continue its current workflow.
  • Needs program means the assigned CIS does not yet have the Program required for that day.

Continue from the correct state

  • Open the assigned CIS when clients, itinerary, or gear still need review.
  • Open the existing Program when planning has already started.
  • Use the Active card only to continue execution already underway.

Read assigned client reviews

Use Client Reviews in the Calendar header for review history, or open it from an eligible completed-day card to filter by date. A Guide or Assistant can read the complete daily review only when assigned to the matching Program day. The neutral detail includes all structured ratings, transfer, meal, comments, and trip/lodge/access context. Visibility does not depend on a low score or a management alert, and an out-of-assignment review stays unavailable.

Next: review the CIS.
