Swap and return guest gear
Swap a guest's item during the stay, report the return item by item, and follow Inventory's check.
Guest gear stays allocated to each guest within the CIS. A completed Program or Fishing Report does not automatically return it, and the guest may keep the same items across field days. The guest's current guide swaps and returns it, even when someone else physically carries it back.
Swap an item during the stay
When an item tears, goes missing or doesn't fit, tap it on the CIS gear card and choose Swap item:
- Choose why: Damaged, Lost or Wrong size.
- For Damaged, say what happened and add a photo of the damage. For Lost, say what happened; a photo is optional. For Wrong size, a note is optional.
- Check the new item. It defaults to the same product; use Other size to choose another size of the same type. For Wrong size, you must choose a different size.
- Tap Request swap.
The old item goes back to Inventory with your report, and the new item is requested for the same guest. It joins the group's pending request, or starts a new one, and Inventory approves it like any request. The new item shows Replaces … on the CIS and in the pickup confirmation, so whoever collects it knows what it is for.
Report the return
- Open Return gear from the CIS. It lists every item your guests still have, grouped by guest.
- Every item starts as Good. Change an item to Damaged or Lost when that's how it came back.
- A damaged item needs a short note and a photo; a lost item needs a note, and a photo is optional. Take the photo or choose one from the library; up to three per item.
- Tap Confirm return and check the summary before sending.
Every listed item is returned in one report. There is no drop-off place to fill in. The items stay out of stock until Inventory checks them.
Gear actions require a connection. An error is not confirmation that the return was saved. Retry the same action and verify its status.
Inventory checks each item
A reported return remains unavailable overnight. Inventory's check opens with your report already filled in: the state of each item, your note and your photo, and whether it was swapped mid-trip. Inventory confirms or changes the outcome of each item. Only a usable item goes back into stock. Repairable, unusable, missing, lost or under-review items stay unavailable and traceable for follow-up. An item marked missing or under review returns to Inventory's list until the final outcome is recorded.
Your report is not Inventory's verified receipt. Checking a return does not automatically charge a guide or guest; any charge is a separate decision.
Keep the lifecycles separate
- Program execution and Fishing Reports describe the fishing day.
- Guest gear follows the guest's equipment through the stay and the checked return.
- Seasonal Kit follows the guide across the season and keeps its own workflow.
If the guest changes guides, the gear goes with them and the new guide swaps or returns it.
Next: work between field days.
